Purchases and Expenses

Bill credits

Record vendor credits and apply them to eligible payables.

Overview

Record vendor credits and apply them to eligible payables.

Before you begin

Select the correct subsidiary and confirm the counterparty, currency, accounts, and reference data. Posting requires an allowed accounting period and the actions permitted by your configured role.

Main task

  1. Open Bill Credits, using the purchase-return path when applicable.
  2. Enter vendor, currency, dates, and required payable details.
  3. Review item/expense credit lines, tax/WHT, and original-document references.
  4. Save and submit through the credit approval workflow.
  5. Apply eligible approved credit to bills using supported controls and review the balance.

Check the result

Credits reduce vendor liability and retain explicit bill/return applications. Approval, posting, and application can be distinct stages.

If something goes wrong

Vendor, subsidiary, currency, and payable-account slices must be compatible. Already applied amounts cannot be applied again. A saved draft does not itself mean approval or posting. Follow the record’s current actions and review rejection feedback before resubmitting.

Review and supporting evidence

Review the saved header and line descriptions, amounts, VAT/WHT where used, and linked records. After approval/posting, inspect GL Impact where offered. Add supporting files or notes through the record’s communication area.
