Overview
Enter employee expense claims and follow approval into the payable workflow.
Before you begin
Select the correct subsidiary and confirm the counterparty, currency, accounts, and reference data. Posting requires an allowed accounting period and the actions permitted by your configured role.
Main task
- Open Expense Reports and create a claim.
- Select employee, date, currency, period, and organizational fields.
- Add expense lines with correct categories/accounts, amounts, descriptions, and VAT/WHT where supported.
- Save, review employee and total, then submit.
- Correct rejected lines and resubmit where available; inspect approved accounting and settlement records.
Check the result
Approved reports retain employee, line, and accounting history. Expense setup determines classification and account defaults.
If something goes wrong
Employee/category availability follows subsidiary assignments. Review rejection reasons rather than creating another claim for the same expense. A saved draft does not itself mean approval or posting. Follow the record’s current actions and review rejection feedback before resubmitting.
Review and supporting evidence
Review the saved header and line descriptions, amounts, VAT/WHT where used, and linked records. After approval/posting, inspect GL Impact where offered. Add supporting files or notes through the record’s communication area.
