Purchases and Expenses

Item receipts and reversals

Receive quantities from an approved purchase order and retain inventory and source-line history.

Overview

Receive quantities from an approved purchase order and retain inventory and source-line history.

Before you begin

Select the correct subsidiary and confirm the counterparty, currency, accounts, and reference data. Posting requires an allowed accounting period and the actions permitted by your configured role.

Main task

  1. Open the approved PO and select its receiving action.
  2. Enter actual received quantities against eligible lines; choose the date and required inventory detail.
  3. Check location, units, and lot/serial/bin/status values for tracked stock.
  4. Post the receipt and follow its detail link from the PO.
  5. To correct a receipt, use its reversal action, choose eligible quantities and reason, and review the reversal.

Check the result

Receipts update PO receiving quantities and post inventory/accrual impact. Reversal records a linked correction rather than erasing the receipt.

If something goes wrong

Over-receipt, invalid tracking, downstream allocations, or locked periods can prevent posting/reversal. Inspect validation messages and linked bills. A saved draft does not itself mean approval or posting. Follow the record’s current actions and review rejection feedback before resubmitting.

Review and supporting evidence

Review the saved header and line descriptions, amounts, VAT/WHT where used, and linked records. After approval/posting, inspect GL Impact where offered. Add supporting files or notes through the record’s communication area.
