Purchases and Expenses

Vendor returns and bill credits

Authorize and ship purchase returns and link the resulting vendor credit.

Overview

Authorize and ship purchase returns and link the resulting vendor credit.

Before you begin

Select the correct subsidiary and confirm the counterparty, currency, accounts, and reference data. Posting requires an allowed accounting period and the actions permitted by your configured role.

Main task

  1. Open the originating PO and create a return authorization for eligible received quantities.
  2. Review source lines and quantities, then submit and approve as permitted.
  3. Create the return shipment from the approved authorization with stock tracking detail.
  4. Review the posted shipment and inventory/accounting impact.
  5. Create/review the linked bill credit and apply it to the appropriate vendor bill.

Check the result

Authorization, shipment, and bill credit are separate linked records. Stock leaves through shipment; financial credit follows the bill-credit workflow.

If something goes wrong

Return quantities need eligible source receipts and available stock. Avoid duplicate stock movements. Investigate returned-not-credited amounts through related records. A saved draft does not itself mean approval or posting. Follow the record’s current actions and review rejection feedback before resubmitting.

Review and supporting evidence

Review the saved header and line descriptions, amounts, VAT/WHT where used, and linked records. After approval/posting, inspect GL Impact where offered. Add supporting files or notes through the record’s communication area.
