Sales and Receipts

Customer deposits and applications

Record customer advances and apply them explicitly to posted invoices.

Overview

Record customer advances and apply them explicitly to posted invoices.

Before you begin

Select the correct subsidiary and confirm the counterparty, currency, accounts, and reference data. Posting requires an allowed accounting period and the actions permitted by your configured role.

Main task

  1. Open Customer Deposits or an order’s deposit action.
  2. Select customer, currency, bank, date, and amount; link the order when appropriate.
  3. Save and post using the supported action.
  4. Select an eligible deposit and posted invoice for an explicit application.
  5. Review application, invoice balance, and available advance.

Check the result

Deposits form a customer-wide pool within the same subsidiary and currency. An order link does not reserve funds exclusively for that order.

If something goes wrong

Posting and application are separate. Incompatible customer/currency/subsidiary or used funds can block application. This differs from Banking Bank Deposits. A saved draft does not itself mean approval or posting. Follow the record’s current actions and review rejection feedback before resubmitting.

Review and supporting evidence

Review the saved header and line descriptions, amounts, VAT/WHT where used, and linked records. After approval/posting, inspect GL Impact where offered. Add supporting files or notes through the record’s communication area.
