Purchases and Expenses

Bills

Enter vendor liabilities and review approval, accounting, and payment status.

Overview

Enter vendor liabilities and review approval, accounting, and payment status.

Before you begin

Select the correct subsidiary and confirm the counterparty, currency, accounts, and reference data. Posting requires an allowed accounting period and the actions permitted by your configured role.

Main task

  1. Open Bills to create a standalone bill, or use the purchasing-linked bill action on a PO.
  2. Enter vendor, supplier reference, dates, currency, rate, posting period, and A/P account.
  3. Add supported item/expense lines. Review quantities, accounts, descriptions, VAT/WHT modes, and asset-item references.
  4. Save and inspect totals, linked receipts, and source documents.
  5. Submit, resolve rejection if needed, then follow approved credit/payment applications.

Check the result

Approved/posted bills establish the payable and GL impact. Purchase bills retain order/receipt allocations. Foreign-VAT handling can generate separate payable records according to configuration.

If something goes wrong

Duplicate supplier references, invalid tax mappings, mismatched receipt allocations, and closed periods can block approval. Check related records before re-entering a bill. A saved draft does not itself mean approval or posting. Follow the record’s current actions and review rejection feedback before resubmitting.

Review and supporting evidence

Review the saved header and line descriptions, amounts, VAT/WHT where used, and linked records. After approval/posting, inspect GL Impact where offered. Add supporting files or notes through the record’s communication area.
